At MailInsightX, your privacy and data security are our top priorities. This Privacy Policy explains how we collect, use, and protect your information when you use our service.

1. Data We Collect

  • Account Information: We collect your email address when you register via OTP. We do not store passwords.
  • Payment Information: All billing and credit card information is handled directly by our Merchant of Record (Dodo Payments). MailInsightX does not store or process your credit card numbers.
  • Usage Data: We log general API usage, error rates, and diagnostic metadata to improve the performance and reliability of our platform.

2. Processing of Customer Email Lists

We do not harvest your leads. When you upload a CSV or XLSX file for bulk verification:

  • The file is used solely to perform email verification and to write the resulting status against each address.
  • Results are streamed back to your browser in real-time and exported in the same file format you uploaded, with your original columns and data preserved.
  • We do not use your uploaded list data for any purpose other than performing the verification you requested, and we do not sell or share it with third parties for marketing purposes.

3. Data Retention

  • Account information and verification history: retained for as long as your account remains active, so you can access your job history and past results.
  • Uploaded lists and verification results: retained alongside your account unless and until you request deletion; we do not currently apply an automatic expiry to this data.
  • Billing and transaction records: retained for the period required by applicable tax and accounting law, even after an account is closed.
  • Deletion requests: we do not yet offer automated self-service account deletion. To request deletion of your account and associated data, contact us at [email protected] and we will process the request manually.

4. Cookies and Local Storage

MailInsightX uses cookies and browser local storage for essential functional purposes, such as keeping you signed in and saving your preferences. We also use third-party analytics and live chat tools (see Section 5), which set their own cookies to help us understand site usage and provide customer support. We do not sell any of this data or use it for advertising.

5. Third-Party Services

We use trusted third parties for the following purposes:

  • Dodo Payments: For billing and subscription management.
  • Resend: For delivering authentication OTPs to your inbox.
  • Analytics: Analytics providers help us understand how visitors use MailInsightX, so we can improve the site.
  • Live chat: A live chat provider powers the widget you can use to reach our support team.

6. Your GDPR Rights

If you reside in the European Economic Area (EEA), you have the right to access, correct, or completely erase your personal data from our systems. To exercise these rights, please contact our support team.
